Bill payments - CLICK PAY

Alexander Wolf and Company is changing their bill payment process beginning April 1st 2021!  
What this means? 
  • The mailing address is changing.  Anyone using their own bank to send payments automatically must update the mailing address to go in effect for April maintenance payments. 
  • Anyone using Alexander Wolf's existing platform to make automatic payments will be deactivated on Wednesday, March 24, 2021.  April's payment must be set up on their website to use the new Click Pay Platform. 
  • Payments can be setup online using all major credit cards for a fee or using ACH or eCheck for free. 
  • One time payments can be made online.

Tax documents

Alexander Wolf and Company has finalized the documents for shareholders to complete their taxes.  

These documents will be mailed out to all shareholders beginning the last week in January.  If you would like a copy for download, these documents are available for immediate download for shareholders with website access, in the "MY ACCOUNT" section of our website from the "SHAREHOLDER DOCUMENTS" page.

Clubhouses / health club

At this time the health club and clubhouses remain closed.  

Please understand that the protocol and requirements for opening the clubhouse and/or health club are far different than the opening of the pools.  While great effort and expense were required to open the outdoor pools, the opening of indoor facilities requires even greater expenditures to be safe and compliant with the current protocols

Aside from the labor and cleaning requirements, there are equipment upgrades for filtration and disinfecting of the air which must take place.  Please know that we have been working towards an eventual re-opening.  We have met with contractors to determine what exactly is necessary to add to our existing systems, and have placed orders for equipment.  Unfortunately, much of the equipment is back-ordered due to the worldwide demand

Additionally, due to the situation with Covid-19 and the current spike in infection rates, the board is unwilling to subject our community, and staff, to unnecessary exposure at this time.  It is our hope and expectation that the vaccines, and improved understanding of the virus by the medical professionals, will bring closure to the pandemic and allow us to resume a more normal lifestyle soon.  

We are all yearning for the return to normalcy!

House Rule #28 Amendment

At the Board of Directors meeting held on December 9, 2020, the Board voted to approve the following amendment to the House Rules regarding gas lamps and heater. 

"House Rule #28
No LESSEE shall store or use any wood, oil, gas, kerosene lamps, or any wood, oil, gas, kerosene heaters in their unit, or on any property owned by the LESSOR"

It's SNOW SEASON

With snow season upon us we'd like to remind everyone of the complex policies on snow removal. 
Oceanside Cove works to keep the roads within the community, open, clear and passable for the duration of all snow storms.  Clearing of sidewalks, driveways and parking spaces begins after the snow storm has completed. 

Crews begin after snowfall in multiple locations and work their way around the complex clearing sidewalks, driveways and parking spaces.  In order for us to clear driveways and parking spaces, cars must be removed before they will be cleared.  If crews come by your area doing cleanup, and your car has not been moved, they will skip you and continue working their way through the complex.  Please understand we will not be able to return to clear your spot then until we've completed the complex.  The complex is large and bouncing around doing a spot here or there is just not feasible. 

Please remember these important items. 
  • Oceanside Cove and its contractors are not responsible for damaged items left outside.  This includes landscape lighting, door mats, decorations etc.  These items get buried in the snow and cannot be seen by the crews clearing the sidewalks.
  • Please ensure your front door mat is removed prior to snowfall.  This is important, when it's buried in snow, the snowblowers suck them up and they damage the equipment.  Damaged equipment leads to delays for everyone in getting their areas cleaned! 
  • Oceanside Cove, staff and its contractors do not clean cars or between cars.  It is your responsibility to clean off your car and remove it from the spot or the driveway so they can be cleaned.  
  • It is recommended that shareholders own something to clean their car and a small snow shovel. 
  • Oceanside Cove has spaces throughout the community called "SNOW SPOTS".  Cars are required to be  out of those spaces before the snow begins.  Any cars not moved are subject to towing or being blocked in by snow. 
  • Snow cleanup in large storms can take a few days.  It is our policy and always our intention to prioritize how we clean up each storm.  No two storms are the same, therefore no two cleanups are the same.  In severe storms we often do sidewalks and then come back and do driveways and spots.  In lesser storms we work to do them all at once.  The storm dictates how we work to clean up the complex.  Rest assured that everyone will get cleaned out as quickly as possible!
  • Many of the equipment used to clean up the snow is large, noisy and extremely dangerous.  Do not assume that equipment operators can see or hear you when approaching them.  The visibility in the weather, from inside equipment and time of day makes it more difficult to see than operating a passenger vehicle.  This equipment also cannot stop as quickly as a passenger vehicle!  Requests should not be made to equipment operators for service!  All requests should be made through the office and you'll be scheduled accordingly.  If you must speak with an equipment operator be sure to stand a safe distance and get their attention.  Once they acknowledge they've seen you you can proceed with approaching them cautiously.  
  • If you have small children out playing in the snow, playing on snow piles during cleanup is extremely dangerous and is not permitted!  Oceanside Cove uses heavy equipment to move piles and it may be difficult to spot children.
  • Wear bright cloths when walking the complex.  We cannot stress this enough!  When walking your dog, or just walking to get fresh air and exercise, WEAR BRIGHT CLOTHS!  At night it is hard to see when driving the complex.  This is even more difficult in snow storms.

Online PORTAL updates

Registered users can now access many in person requests ONLINE!

Due to the Management Office remaining closed to outside visitors and shareholders, we have made many new and exciting updates to the Online Portal.  Registered website users can access the following functions through their online portal. 
  • Gate Access (Users can add visitors to the gate to give them access)
  • Work Order Requests (Send in requests for service needed in your home or around the community)
  • Exterminator Request (Add your name to the list for complementary exterminating service)
  • Purchase Visitor ID Cards
  • Purchase lost/replacement ID Card
  • Purchase Gate Remotes
  • Canine Registration
And this is just the beginning! We will continue to add and improve the website to bring more functions to shareholders and residents online!

Health Club

Many shareholders are wondering why the health club has not opened yet.  The department of health and NYS have put very strict guidelines on opening health clubs.  Similar to how they put guidelines on opening the pool, they've put guidelines on gyms/health clubs.  The guidelines set forth are significantly stricter than the pool guidelines that were required of us during the summer.  The requirements include specific HEPA filtration being installed in our AC/Heating system.  This by itself is holding things up as this equipment, like much of the COVID19 equipment is on a severe backorder.  

Aside from just the equipment there are other hurdles we're working on as well.  The requirements include contact tracing and the 6' spacing of the gym equipment.  As you are aware our facility is very small and there are also hurdles in that as well.  Similar to the pool the health club opening will be required us to hire staff members to be stationed at the building while the health club is open, signing people in and out of the building and asking them contact tracing questions.  We appreciate all your patience and we're working through all these details as quickly as we can.  Please check back for updates here.  All shareholders will receive a notice as soon as we have an anticipated opening date.  

Our priority is to get this open as soon as possible while ensuring all shareholders remain safe while using the facility!
